Balance Report

Viewing Your Rolling Reserve or Settlement Balance at a Specific Date

One of the most frequently asked questions in reconciliation — especially for accounting cut-offs at month-end or quarter-end — is:

How much money is currently held by wallee? at a specific date. This is relevant at the end of the year or quater.

This can refer to:

  • Rolling Reserve amounts held at a specific point in time.
  • Settlement balance (i.e., funds still in processing or not yet paid out).
danger

To answer these questions, you need access to wallee Analytics. Please ensure your subscription includes access to the Analytics module. If not, contact your account manager or support.

Rolling reserve & Oustanding Balance for a specific date

Below is an example query you can run in the Analytics interface. This query shows the available balance (including rolling reserves and pending settlements) as of June 30, 2025.

info

The output will create a report that contains the settlement for a the outstanding balance or rolling reserve to da specific date that is defined in the report.

Sample SQL Query

-- This query returns the latest known balance before a given date,
-- including amounts still in payout processing and any rolling reserves.
-- Adjust the date '2025-06-30' to your desired reporting date.
-- Make sure to set the 'WHERE createdon' condition to the day *after* your chosen date.

SELECT
t1.currentaccountbalance_id,
(t1.amount + t1.beforeaccountbalance) as balance,
t1.currency,
'balance' AS name,
'2025-06-30' AS date_balance -- ← date that will be the displayed in the results
FROM
currentaccounttransaction t1
JOIN (
SELECT
currentaccountbalance_id,
MAX(createdon) AS latest_date
FROM
currentaccounttransaction
WHERE
createdon < date('2025-07-01') -- ← Change this to the day *after* your reporting date
GROUP BY
currentaccountbalance_id
) t2
ON
t1.currentaccountbalance_id = t2.currentaccountbalance_id
AND t1.createdon = t2.latest_date
ORDER BY
t1.createdon DESC;

What You Need to Adjust

  • Replace '2025-06-30' with the desired reporting date, this date will be used in the result as you can see below.
  • Replace '2025-07-01' in the WHERE clause with the next calendar day - this is because the date will be translated by the database into 01/07/2025 00h00, this is why we do createdon date('2025-07-01').
  • Optionally filter by currency or account IDs if needed.

💡 Tip: The query returns the most recent snapshot before the selected date. This is useful for quarterly closings and accurate cash flow accounting.

Outstanding Balance Report

Understanding how much money is still outstanding is essential for accurate financial planning and cash flow control. In wallee, you can monitor unsettled transactions using either the wallee portal or wallee Analytics.

This section explains both approaches and provides the tools you need to track which transactions have not yet been settled.

What Counts as “Outstanding”?

Outstanding transactions refer to payments that have already been processed but have not yet been settled. These can have different statuses:

StatusDescription
UpcomingThe transaction was successfully created and forwarded to the acquirer but has not yet been settled.
SettledThe transaction has either already been paid out to your bank account or is available in your wallee balance for payout.

💡 Settlement delays are normal — especially for credit card schemes. Transactions can take 3–4 banking days depending on the acquirer. Weekends and bank holidays are not counted.

Option 1: Using the wallee Portal

If you're managing a single space or want a quick view, you can use the wallee portal:

  1. Log in to your wallee portal.
  2. Navigate to Account → Settlements.
  3. Filter for Upcoming bank transactions.
  4. Export the report as a CSV file.
  5. In Excel or any spreadsheet tool, filter by the Upcoming status and sum the corresponding amounts.

This method allows you to check all pending settlement entries for a given space.

📌 Reports from the portal are available on a per-space basis and may have export limits on the number of rows.

If you're managing multiple spaces or need more flexible reporting, you can use wallee Analytics. This requires the Analytics module to be enabled in your subscription.

To get a full list of outstanding transactions across spaces, you can run the following SQL query:

-- Outstanding Balance Report using Analytics
-- Returns all unsettled transactions (Upcoming)
SELECT *
FROM banktransaction
WHERE settlementstate = 'UPCOMING'
