Account Receivables / Account Payables
🔁 Account Receivables & Payables
For every transaction processed in PostFinance Checkout, corresponding accounting records are generated automatically. They are available in the Space under Accounts > Accout Payables / Account Receivables
These include both:
- Account Receivables (AR): representing incoming funds from acquirers or processors
- Account Payables (AP): representing payouts to merchants or reversals (e.g., refunds)
📋 Account Overview Table
This section provides a unified view of:
- 🔹 All Account Receivables (tors per transaction)
- 🔸 All Account Payables (refund)
You can filter the view by:
- Type (Receivable or Payable)
- Status (e.g. Outstanding, Received, Overdue, E-Recognized)
📊 Status Definitions
| Status | Meaning |
|---|---|
Outstanding | No payment received yet (debit or credit still open) |
Overdue | Payment is delayed beyond expected settlement time |
Received | Payment received and matched to transaction |
Derecognized | Payment is no longer expected (e.g., chargeback, cancellation, expired) |
Cancelling an invoice
To cancel an invoice (e.g. a QR invoice) cleanly, without booking a loss, either:
- issue a credit note that sets the open amount to 0, or
- replace the invoice and set its totals to 0.
attention
Derecognize is meant for uncollectible receivables and books the open amount as a loss. Only use it to cancel an invoice if no follow-up processes (accounting, debt collection) depend on that invoice.
🧠 Important: Sync Before Summary
Before generating an Accounting Summary, it is essential to:
- ✅ Ensure all settlement files have been successfully imported
- ✅ Close all open AR/AP entries where payments have arrived
- ⚠️ Check for any missing Settlement file from Acquirers or CAMT files
